WhatsApp Sales Funnel: Every Deal on One Board
Nobody loses a lead on purpose. It just scrolls.
Someone asked for a price on Monday. You sent it, they said they'd check with their partner, and since then eleven other chats have arrived. That thread now sits under a delivery question and a wrong number, still warm, still nobody's job. An inbox sorts by who wrote last, not by who is about to buy.
So WhatsTeam gives those conversations somewhere to live. The sales funnel is a board where every deal your team is chasing is a card, moving through the stages you choose. A new funnel arrives with five stages that already work: New lead, Contacted, Negotiation, Won and Lost. No new CRM (customer database) to learn, no spreadsheet to keep in sync.
Drag a card, move the deal
Each column is a stage, each card a deal. A card shows the deal's title, the contact, what it's worth, how long since that conversation last moved, and who owns it. The header above the board counts the deals and adds up what they're worth.
Drag a card to another column to move it. While you drag, Won and Lost zones appear, so a deal closes from anywhere on the board instead of being hauled across five columns. If you'd rather not drag, every card has a button that moves it one stage forward.
Badges that tell you where to look
By Thursday that Monday quote wears a Stalled badge. You give each stage a limit in days, and this deal has sat there longer than that. A chat nobody has touched in more than three days reads Cold. A chat with messages nobody on your team has opened reads Unread.
Two filters at the top, Mine and Stalled, cut the board down to what's yours and what's going stale.
The Won and Lost columns show the deals closed in the last 30 days, so the board stays quick to read. Older ones aren't gone. The Metrics button shows everything the funnel has won and lost over its whole life, the reasons deals were lost, and the deals behind each figure.
A second opinion that never touches your board
When a conversation with an open deal gets new messages and then goes quiet for half an hour, WhatsTeam reads the recent exchange. If there's something worth saying, it leaves one of two things on the deal: a suggested stage move, or a warning that the deal looks at risk. Each comes with a one-line reason and the exact sentence from the chat it rests on, so you can check the reasoning yourself.
The AI never moves anything. Move the deal applies a suggestion as an ordinary stage move, made by you, and Dismiss clears it. It never proposes Won or Lost, because closing a deal shouldn't be one click away from a sentence a customer wrote. It reads the messages only, never your internal comments. And a suggestion expires the moment a new message lands in that chat, so you never act on an old reading of a conversation that has moved on.
The deal lives where the conversation does
Every one-to-one chat has a Sales funnel block in the contact panel. It shows that contact's open deals with their stage, and an Add to funnel button that creates one without leaving the chat. For agents who live in the inbox, that's the whole feature: something you update while you talk.
A deal can also start from a bare phone number. Click the + on a column, type the number, give the deal a title and an amount, and save. It picks up the conversation by itself as soon as that contact has a chat on your number.
Reassign a deal and WhatsTeam asks whether the chat should follow. Reassign the chat in the inbox and the deal follows on its own.
Each card opens into a record with its own link, so a colleague can pick up a negotiation halfway through. It keeps what the chat won't: private comments your customer never sees, tasks with due dates, and every move the deal made, with who and when. Overdue tasks rise to the top, so what you promised on Monday is the first thing you see on Thursday.
Agents see the deals assigned to them and nothing else, even where they can read those same conversations in the inbox. Admins and supervisors see every deal.
The plans it comes on
Sales funnels come with all three WhatsTeam plans, and there's nothing to switch on. Starter gives you one funnel, Business three and Enterprise ten. The AI suggestions come with all three too. One number on any of these plans is enough for Sales funnel to appear in the side menu for the whole team.
For developers, the funnel is in the REST API too, with webhooks (automatic notifications to your own systems) when a deal moves, is won or is lost.
One honest caveat: the sales funnel is in beta. It works, and it may still have rough edges. When you find one, tell us. It isn't in the mobile app yet either: the board and the deal record are screens in the web app.
Back to that Monday quote
It's still in Negotiation, worth what you quoted, stalled since Thursday, with the chat one click away. Which deals are moving, which are stuck, which one nobody has touched since Monday afternoon: that used to live in somebody's head, and only while they remembered it.
The sales funnels guide in the help center walks through the board screen by screen. The pricing page shows what else comes with each plan, and the team inbox is where the conversations behind each card live.
