Grok Bot template

Grok Bot + WhatsApp

Use Grok Bot to organise your WhatsApp inbox with WhatsTeam. It reviews your conversations, drafts replies and follow-ups, and prepares reminders. Nothing goes to a customer until you approve it.

How it works

Grok Bot is xAI's assistant app. The WhatsTeam template adds a bot to it that connects to your WhatsTeam account through WhatsTeam's MCP server, using an API key you create. The bot reads your chats, labels and assigns them, and drafts messages. It asks before it sends anything, and its scheduled routines only prepare drafts. Grok Bot is a separate app with its own subscription. It is not an auto-reply bot for your customers: it works for you and your team.

Before you start

You need the Grok Bot app on Mac, Windows or Linux, a paid Grok Bot plan that includes it, and a WhatsTeam account with your WhatsApp number connected. Grok Bot's subscription is separate from WhatsTeam. Check the current requirements on the Grok Bot site (opens in a new tab).

Set it up

  1. Select Add WhatsTeam to Grok Bot. On the template page, select Add to Grok Bot or Open the app, check the template, then select Add Bot.

  2. Open the new WhatsTeam bot. Setup starts on its own. If it doesn't, send Start.

  3. In WhatsTeam, open Developers β†’ API keys (opens in a new tab) and create a key just for Grok Bot. Keep that page open.

  1. When the bot asks for the key, paste it in the bot's chat and approve the WhatsTeam connection.

  2. Wait for the bot to confirm it is connected. If you have more than one WhatsApp number, pick the one it should manage. Then answer its questions about your business, language, tone, opening hours, timezone, team and how much it may do without asking.

  3. Ask for an inbox preview. Check the labels, notes and assignments it suggests before you apply them. Messages to customers always wait for your approval.

  4. Decide whether to turn on any routines. They start paused. Confirm your timezone and the times you want first.

Five things to ask your bot

Copying a request only copies text. It doesn't send anything or run anything in WhatsApp.

Sort the inbox

In WhatsTeam, review my WhatsApp conversations from the last 7 days. Group them into urgent requests, new leads, existing customers and resolved questions. Show the labels and teammate assignments you suggest before changing anything.

You get: a sorted preview of your inbox with suggested labels and owners.

Answer waiting customers

In WhatsTeam, find customers whose latest WhatsApp message still needs an answer. Put the ones waiting longest during my business hours first and draft a helpful reply for each. Use only my saved business information and ask me when a fact is missing. Show me the drafts before sending.

You get: a list of waiting customers, each with a reply draft to check.

Follow up with quiet leads

In WhatsTeam, find up to 10 leads who contacted us on WhatsApp but have gone quiet for at least 3 business days. Leave out anyone who asked us to stop. Draft a short, friendly follow-up from each conversation, and show me the drafts for approval.

You get: follow-up drafts that skip anyone who opted out.

Prepare appointment reminders

In WhatsTeam, review WhatsApp conversations for appointments tomorrow in my business timezone. Show the appointment times you found, ask me about anything unclear, and draft a reminder for each. Show the recipients, exact send times and message text. Wait for my approval before scheduling anything.

You get: a reminder plan with recipients, times and drafts. Nothing is scheduled until you approve it.

Get a weekly summary

In WhatsTeam, summarise my WhatsApp inbox for the last 7 days: the main customer questions, conversations still waiting, promising leads and next actions. Use the data you have, keep facts apart from suggestions, and tell me if a number I asked for isn't available.

You get: a weekly digest built from your real data, with no made-up figures.

Routines

The bot comes with four routines, all paused: a morning brief, reply drafts for waiting customers, evening follow-ups and a weekly report. Their times are only suggestions. You choose your timezone and which ones to turn on. Routines prepare drafts; they never send messages to customers on their own.

Stop or disconnect

To stop future routine runs, pause them in Grok Bot. To cut the bot's access to your WhatsTeam account, delete its key in Developers β†’ API keys (opens in a new tab). Messages that are already scheduled stay scheduled: check them in WhatsTeam. Deleting the key or pausing a routine doesn't cancel them.

Troubleshooting

The app didn't open.

Open Grok Bot yourself, then open the template link again and choose Open the app. Download and plan details are on the Grok Bot site (opens in a new tab).

The key is refused.

Check it is a WhatsTeam key from this same account, that it is still active, and that you copied it without extra spaces or text. Never post a key in a support ticket, a screenshot or a public page.

The bot lists tools but says it isn't connected.

Seeing the tools doesn't mean it is signed in. Let the bot finish its connection check before you continue.

The preview is empty.

That can be right if no one wrote recently. Check which number the bot is using and the date range you asked for.
